The Forest Preserve District of DuPage County provides opportunities for people to connect with nature. We offer to the public 60 forest preserves, 145 miles of trails, 47 miles of rivers and streams, and 6 nature and cultural centers. We have 6 million visitors each year. The District's mission is, "to acquire and hold lands containing forests, prairies, wetlands and associated plant communities or lands capable of being restored to such natural conditions for the purpose of protecting and preserving the flora, fauna and scenic beauty for the education, pleasure and recreation of it's citizens. Job Purpose This position provides administrative support to a department using independent judgment to carry out assigned projects. Specific job duties vary based on department needs and include the ability to work effectively with others . This position will be a part of our nationally recognized, award winning Fleet. The chosen candidate will be working at our newly constructed, environmentally friendly District Fleet Management building located in West Chicago, Illinois (29W222 Mack Rd.). This position will report directly to the Assistant Director of Public Safety & Services and also work closely with our District Safety team. Essential Duties and Responsib ilities Perform day-to-day administrative duties, including, filing, opening and distributing mail, scanning of documents and preparing documents for meetings. Utilize suite of office software products to create, prepare and modify a variety of reports, documents and contracts. Compose and type correspondence. Create and maintain recordkeeping reports and filing systems. Code and process invoices for payment. Update and maintain all department forms, schedules and calendars as applicable. Coordinate meetings, including preparation of agenda, coordination and distribution of materials, notification of members, typing of ordinances. Process work orders and the ordering and purchasing of equipment, uniforms and supplies. Maintain inventory and reconcile invoicing. Coordinate services provided by outside vendors. Plan, support and participate in special events and sponsorship activities Assist in research and data collection on special projects of a sensitive nature. May supervise assigned personnel and volunteers. Perform other duties as required. Schedule: Monday - Friday 6:30am - 3:00pm, will be working in the office and out in the field visiting various facilities and vendors as needed. Will also be working in a classroom setting to support training events. Starting Salary: $21.13-$23.33 an hour Education and Experience Required Related Experience: One (1) to three (3) years experience in an administrative role, or equivalent combination of training and experience. Knowledge of: Word processing, database, spreadsheet, and communication software packages; current administrative and office procedures; business English, grammar, spelling, punctuation, and business math. Skills: Acquiring and applying knowledge of procedures, rules, regulations, and services of assigned office; exercising sound judgment; maintaining records of a confidential nature; performing administrative duties; dealing effectively with the public, vendors, elected officials, and staff; communicating effectively, verbally and in writing; prioritizing and managing multiple tasks and projects; interpreting and applying complex written and verbal instructions.
