Provides administrative support to the Sales and Marketing Director and the Sales Manager. Customer Service : Responsible for effectively meeting customer needs by caring out established customer service / guest relations protocols of SGV. Meeting the goal of having a very high degree of responsive and friendly customer service for all customers and taking responsibility for customer satisfaction. Position Summary Under the general supervision of the Director of Sales and Marketing, the Sales & Marketing Coordinator supports the sales and marketing efforts of the department by fielding and documenting new leads, supporting cultivation efforts through event support, and managing the SGV Good Neighbor program—a waitlist/resident/membership program. This role also incorporates project coordination duties (please see below), ensuring smooth execution of marketing and sales projects, as well as onboarding new residents. Project Coordination: Coordinate all SGV marketing events, ensuring all logistics are managed efficiently. Develop and use collaborative relationships to facilitate the accomplishment of work goals. Proactively fulfill job responsibilities with a positive attitude and active contribution to the team. Maintain an understanding, appreciation, and respect for how each job contributes to the overall team. Computer skills Key Responsibilities MARKETING & SALES SUPPORT Inputs qualified leads into Sherpa. Fields inquiry phone calls and emails in support of the salesperson. Manages the advertising schedule including insertion orders, artwork deadlines and invoicing. Sends out information packets. Maintains marketing collateral inventory ordering new materials when needed. § Assists salesperson and director in hosting tours sometimes providing tours when other team members are not available. CULTIVATION SUPPORT: Assists salesperson and director in cultivation efforts of prospects. § Maintains positive and cooperative relationships with other departments to ensure that everyone is supportive of the sales and marketing efforts of SGV. Manages an SGV Good Neighbor program and database which provides a database of residents willing to make their apartments available for prospect viewing, willing to have lunch with occasional prospects and will to help host SGV events. Also includes oversight of the SGV Mentor program. Provides support for events including sending out invitations; managing the RSVP list in Sherpa; coordinating with dining services and other departments who may be involved in the execution of an event; coordinating set up and breakdown; meeting and greeting guests and helping with creative follow up after the event. Supports salesperson and director in any creative follow up. In cooperation with the Life Enrichment Director, post to Facebook and any other relevant social media platforms. ONBOARDING SUPPORT § Manages all aspects of the onboarding experience for new residents including apartment preparation, processing of necessary paperwork, orienting new residents and making sure they feel welcome. § Assists new residents with completing move in documents and following the “to do” list. § Schedules move in date and records in Sherpa. Coordinates with facilities to ensure apartments are renovated and ready by move in date. Sets up meal plan, secures emergency pendants and assigns parking spaces provides keys, access cards, mailbox keys, name badges, garage door openers, etc. Conducts a walk-through of apartments to ensure the residence is “move-in ready.” Ensures apartment is ready for move in day—all renovations completed to spec, clean, toilet paper in bathroom, resident handbook, flowers/gift/card, mentor informed of resident arrival. Follows up with resident(s) the day after move-in to answer any questions and address any concerns or needs. COPYWRITING · Responsible for development of copy for SGV newsletters directed to prospects, residents, employees, and friends of SGV under the direction of the Director of Sales and Marketing. INFORMATION OUTREACH SPECIALIST · Responsible for managing outgoing information such as newsletters, announcements and other information to key audience targets such as prospects, wait listers, friends of SGV, and, as required, residents and care partners. MOVE OUT SUPPORT · Coordinates move outs with former residents and/or their families. · Secures apartment release form. · Collects keys, access cards, emergency pendant, and garage door opener. · Assures apartment and storage cage is completely cleared of personal items and furnishings. ADMINISTRATIVE/OTHER SUPPORT § Assists in preparing occupancy report and apartment status report. Processes waitlist applications and sends acceptance letter. Maintains bridge loan list. Manages resident files. Updates the occupancy board. Prepares invoices for approval. Prepares reports as necessary. Other duties as assigned. Supervisory Requirements This employee does not have supervisory requirements. Qualifications: Education and/or Experience Level 3 : Associate degree, 4 yr. degree preferred; or two to five years related experience and/or training; or equivalent combination of education and experience. Language Skills Level 4: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures or government regulations. Ability to write reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public. Requires computer skills including word and excel Mathematical Skills Level 2 : Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs. Reasoning Ability Level 3: Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. The work week is generally 40 hours per week: however the position requires a willingness and flexibility in work hours when necessary to fulfill job responsibilities, including occasional evening or weekend work.
