RICHMOND MOTOR SPEEDWAY Founded in 1946, Richmond Raceway is America's Premier Short Track. The venue annually hosts two NASCAR race weekends, featuring the NASCAR Cup Series and either NASCAR Xfinity Series or NASCAR Camping World Truck Series, as well as a Whelan Modified Series race on the iconic -mile D-shaped oval. Richmond Raceway is a regional leader for events including sports, live music, and consumer trade shows. The Richmond Raceway Complex's 1,100 plus acre multipurpose facility hosts more than 200 live events over 280 event days annually, including concerts with top national recording artists at Virginia Credit Union LIVE!, the region's only covered amphitheater.. Summary :NASCAR seeks a talented professional to join in the position of an Office Manager. This position will provide administrative support to the President in a professional, confidential, and effective manner facilitating the effective operations of the President's office. The Office Manager position requires advanced computer skills, project coordination experience and the ability to work professionally with all levels of the internal management and staff as well as external customers, sponsors, etc.The ideal candidate will: be energetic and adaptable to changes in a fast-paced creative environment; can manage competing demands and is able to deal with frequent change, delays or unexpected events. possess strong problem-solving skills; able to anticipate needs and opportunities; acute attention to detail and accuracy. have strong time and workload management ability, able to prioritize and plan tasks. Dependable and responsible with excellent work ethic; able to work occasional extended hours. excel at proactive planning, anticipating issues, foreseeing conflicts and resolves them in advance be able to act autonomously understand the corporate organization and resources, be proficient in accessing and utilizing all functions across the company and industry be able to recognize and identify important business contacts (sponsors, media, sanctioning bodies, industry, etc.) maintain a high level of confidentiality and diplomacy. Essential Duties and Responsibilities include the following: The Office Manager will provide ongoing support to the President, handling all aspects of daily business requirements including scheduling and calendar management, management reporting/information management, travel arrangements, correspondence, and interactions as a liaison between senior management and clients/colleagues to facilitate work and accomplish objectives in a collaborative effort. In addition to the primary role of supporting the President, will also be available to provide back up support for other executives as follows: Coordinate and plan travel arrangements, and recommend the most cost-effective itineraries Schedule appointments, confirm changes or delays, and make necessary changes, with guidance as necessary Coordinate meetings and make arrangements for conferences, meetings and events, including catering as needed Provide phone coverage and back up for front reception Employee onboarding of all Richmond Raceway teams administrative needs Fleet management coordination Oversight of Richmond Raceway Cares Coordination of neighborhood committee association Other duties may be assigned. No travel is required. However, depending on the schedule, hours will vary but will include evenings, weekends, holidays, and long days on event days and nights. Supervisory Responsibilities: Manages seasonal/event workers during events. Qualifications: Ability to work effectively to meet time-sensitive deadlines. Highly motivated and willing to take on ad-hoc work at times. Excellent verbal, written, and interpersonal skills with the ability to interact with employees, clients, officers, and peers in a professional manager with a high level of confidentiality and discretion. Proficiency in MS Office (MS Excel, Word, PowerPoint and MS Outlook, in particular); Excellent time management skills, attention to detail and the ability to multi-task and prioritize work; A proactive approach to problem-solving with strong decision-making skills; Strong organizational and planning skills in a fast-paced environment; A creative mind with an ability to identify and suggest improvements. Education and/or Experience Associates degree or equivalent from two-year College is preferred or minimum of three years related experience and/or training; or equivalent combination of education and experience. Work Environment The employee is occasionally exposed to moving mechanical parts such as printers, fax machine, and copier. The employee is occasionally exposed to outdoor weather. The noise level in the work environment is usually moderate. The employee is occasionally exposed to loud event time noise. Physical Demands While performing the duties of this position, the employee is regularly required to sit; use hands to finger, handle or feel; and talk and hear. The employee is frequently required to work and reach with hands and arms. The employee is occasionally required to lift up to 25 pounds.
