Motiva is wholly owned by Aramco, one of the world's largest integrated energy and chemicals companies.Position Overview:As a Records Analyst reporting to the Records Management Manager within the Legal & Corporate Affairs department, you will play a crucial role in maintaining Motiva Enterprises LLC's Corporate Information Governance Program. This program ensures compliance with legal, business, and information management requirements, overseeing the entire lifecycle of company information, from creation and retention to disposition.This is an in-office position located at our headquarters in downtown Houston, TX.Responsibilities: * Oversee the creation, utilization, access, storage, and disposal of all recorded information, both physical and electronic, essential for the organization's operations. * Serve as the primary point of contact for all departments within Motiva Enterprises LLC regarding the management of company-owned information assets, including escalating issues as needed and providing updates to support the program's objectives. * Contribute to the identification of new initiatives aligned with the company's strategic goals. * Manage the Corporate Information Governance Program in accordance with established policies, guidelines, processes, and controls, ensuring adherence to the company's records retention schedule and best practices. * Educate stakeholders on their obligations within the information management program and provide guidance as necessary. * Facilitate the retrieval and preservation of information assets required for legal matters, including implementing legal holds when necessary. * Collaborate with the Information Technology department to develop and implement best practices and procedures for managing electronic information in compliance with relevant policies and standards. * Conduct presentations and training sessions for departmental Records Coordinators and other stakeholders on information management practices and program updates. * Develop and maintain file plans and file-naming conventions in partnership with Records Coordinators across all departments. * Manage relationships with vendors and consultants providing services for information asset storage, retrieval, imaging/scanning, and destruction. * Serve as a subject matter expert for the Enterprise Content Management system and other associated Information Management platforms. * Fulfill any additional duties as assigned.Experience and Qualifications:Basic Qualifications: * Bachelor's degree in Business Administration, Library Sciences, or related field of academic study. Pertinent experience at the professional level may be substituted for the education requirement on a year -for-year basis. * 5 years of experience in records and information management or information governance. * Broad working knowledge of ISO 15489-1 and -2, Records and Information Management standards, the Generally Accepted Recordkeeping Principles (The Principles), and the National Association of Information Destruction (NAID) standards. * Intermediate level proficiency of records and information management (RIM) commercial software (e.g., OpenText Content Server, Microsoft SharePoint and Iron Mountain Connect) * Ability to think strategically and with innovation, including a demonstrable capacity to proactively identify and respond to relevant issues of both long-term and immediate importance to the Company. * Ability to formulate and offer clear and practical advice on complex Information Governance issues. * Proficient with business software applications (e.g., Teams, Outlook, Excel, Word, PowerPoint etc. ) * Must be able to comprehend and communicate accurately, clearly, and concisely in English. * Must have the ability to acquire knowledge and understanding of all Information Governance processes and issues and to understand their implications for the Company's Information Governance practices. * Must possess good work habits, a strong work ethic, be a quick study, able to learn, retain and teach others new technology as it is introduced in the industry; and be able to adhere to Company work hours, policies, and standard business etiquette. * Ability to establish credibility and working relationships with a wide range of corporate personnel, including operations, management, executive and legal staff as well as external personnel, including vendors, auditors, and regulators.Preferred Qualifications: * Certified Records Analyst (CRA) CertificationWe reserve the right to amend or withdraw Motiva jobs at any time, including prior to the closing date.
