Job Summary Performs a variety of complex duties in support of Student Services for this level; handles day-to-day complex duties in addition to general clerical work related to the assignment; assists students, staff, and community members at the front counter, over the phone, and through written and electronic correspondence; assists with student admission, uploading of documents, registration, withdrawals, and financial aid questions. Responsibilities ESSENTIAL FUNCTIONS : Performs a variety of complex duties in support of Student Services; handles multiple priorities and tasks simultaneously and makes decisions independently according to established guidelines. Guides students through the online admissions process; assists students in the selection of appropriate programmatic courses including dates, times, and campuses, as guided by the student's identification of a specific CAC program certificate or associate degree; registers students in person and via email; guides students on how to register through the student portal; assists students in declaring the appropriate CAC program based upon the students' stated vocational or academic goals; and troubleshoots issues student may have with admission and registration. Assists with transcript requests and processing; receives requests, prints transcript forms, verifies payments and holds, and mails out orders. Verifies and processes all High School Program (Early College, Dual Enrollment) documents; receives forms; checks GPA for eligibility; provides financial aid information on credit and award amounts; and notifies students if they are no longer eligible for High School Programs. Collects, reviews and records receipt of documents needed for verification process and submits to District Financial Aid Office; receives incoming telephone calls for financial aid with regards to required documents for verification, award, and appeal status; and works in conjunction with Financial Aid to ensure student information is accurate for financial aid disbursement. Assists with reviewing error reposts; reviews/submits degree verifications; and responds to requests if holds exist and or on NSLDS discrepancies. Provides information and/or training in policies and procedures of the Department; works to resolve problem situations using independent judgment and decision making according to established guidelines and procedures; and may provide guidance to coworkers. Performs other duties commensurate with functions and level of position or as assigned. Qualifications EDUCATION: High school diploma or equivalent. EXPERIENCE: One (1) year of related experience. SPECIAL POSITION CONDITIONS : None. Background Verification : As a condition of employment, all candidates accepting an offer of employment for a full-time, part- time, temporary, student worker, or volunteer position, will be required to undergo a Background Verification. Employment with Central Arizona College is contingent upon the successful completion of the background verification. The level the background verification for this position is: Standard level. Knowledge, Skills, & Abilities Knowledge of student services programs and procedures. Knowledge of specific processes, policies, and procedures of office management and workflow procedures to include effective management of workload. Skill in using various word processing, spreadsheet, database, presentation, and integrated information software, systems, and associated hardware, e.g. personal computers. Skill in prioritizing and organizing work. Skill in gathering, compiling, and presenting information in oral and/or written form. Skill in communicating, both verbally and in writing. Skill in interacting with a culturally diverse population, College administrators, faculty, staff, students, and the public. Skill in processing a variety of financial and non-financial transactions, verify accuracy, match against documentation, code to proper account, prepare necessary forms or reports, post transactions, and reconcile and retrieve information as needed. Ability to work both independently and as a member of a team in accomplishing tasks. Ability to analyze situations, develop solutions, and make independent decisions based on established guidelines.
