We are seeking a highly skilled and experienced Senior Administrative Assistant to join our UHCU team. As the Senior Administrative Assistant, you will provide ongoing, high-level, and confidential administrative support to the Executive Administrative Assistant and the Executive Leadership Team. You will play a crucial role in ensuring effective and organizational operations by establishing and maintaining collaborative and professional relationships both internally and externally. What you will do: Routinely interact with the Executive Leadership Team and proactively provide a high-level of administrative and sometimes complex support on a day-to-day basis, as directed by the Executive Administrative Assistant. This includes but is not limited to: Preparing email correspondence, agendas, procedures, reports and/or other publications. Scheduling and coordinating meetings, conferences, travel accommodations, office activities and events, as necessary. Reviewing and editing reports and other documents for accuracy, completeness and/or compliance with procedures and guidelines. Attending meetings and preparing meeting minutes, as applicable. Performing other advanced and confidential administrative support, as necessary. Assist the Executive Administrative Assistant to research, prioritize and follow-up on complex issues or concerns addressed to the Executive Leadership Team, including those of sensitive or confidential nature. Attend and provide support for Charity Foundation meetings and Team United Heritage events. Provides updates to the Executive Administrative Assistant, as necessary. Represent the Credit Union by attending community activities supported and/or sponsored by UHCU or the Charity Foundation, as necessary. Assist the Executive Administrative Assistant with the compilation and preparation of Board Reports, Board meeting packets, information and meeting minutes, as needed. Under the direction of the Executive Administrative Assistant, provide support with Board and Committee-related events, including but not limited to: Monthly and special-called Board meetings Annual Membership meetings Strategic planning meetings Board Holiday events Serve as a back-up to the Executive Administrative Assistant, as necessary. Stay informed on major organizational projects, as necessary. Collaborate with the Executive Administrative Assistant to stay abreast of current priorities. Exercise professionalism, diplomacy, tact, and good judgement in recognizing scope of authority and in protecting confidential information. Coordinate and interact with external vendors, as needed. Perform various special projects. Here is what you will bring to our Administrative Team: An equivalent combination of education, experience, and training which provides the required knowledge, skills and abilities may be considered. Minimum Qualifications High school diploma or GED equivalent. Minimum 3 years of demonstrated administrative assistant experience in a professional environment with responsibilities related to interacting with and supporting a senior leadership team. Experience handling and processing confidential information in an accurate and thorough manner. Demonstrated ability handling a high-volume workload while working in a fast-faced environment. Understanding of MS Office Suite with advanced technical and computer skills; ability to navigate quickly and accurately within various computer programs. Exceptional attention to detail and ability to multi-task. Strong verbal and written communication skills with the ability to work professionally, collaboratively and supportively with individuals, groups, management, other organizational units, and vendors to achieve business goals and objectives. Preferred Qualifications Bachelor's degree from an accredited college or university in Business Administration, Management, or other related field. 3+ years of demonstrated administrative assistant experience in a financial institution with past roles related to interacting with and supporting C-Suite executives and/or Board of Directors. Demonstrated leadership/supervisory experience with responsibilities to include coaching, mentoring, developing and motivating staff. Demonstrated experience with organizational event planning.
