Job Summary: The Mail and Policy Delivery Associate plays a crucial role in enhancing our clients’ experience by ensuring the fast and accurate issuance and delivery of insurance policies. This role involves opening, sorting, scanning, and distributing mail from various sources (email, fax, and postal service) while maintaining the highest level of confidentiality. The Associate will use multiple technologies to ensure accurate document processing, postage management, and delivery, collaborating closely with internal teams to provide a seamless client experience. Additionally, the Associate will support various administrative tasks to ensure the smooth operation of the department. Essential Job Functions, Duties, and Performance Responsibilities: Open, sort, scan, and distribute incoming mail. Process outgoing mail using postage software and equipment. Organize, input, scan, and mail out time-sensitive documents. Oversee and distribute information received into various centralized email boxes. Handle live checks securely. Maintain strict confidentiality in all tasks. Assist with data entry and maintaining accurate records. Coordinate with internal departments to support administrative needs. Prepare and maintain reports as required. Manage office supplies and ensure inventory is up to date. Provide general administrative support, including scheduling meetings, managing calendars, and handling phone calls. Job Specifications and Qualifications: Education: High School diploma required. Skills and Experience: Experience in the life insurance industry is advantageous. Strong written and verbal communication skills. Exceptional attention to detail. Self-motivated, with the ability to learn and adapt to new processes and situations regularly. Strong computer skills with the ability to quickly become proficient in internal systems. Ability to maintain focus in a busy environment. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Excellent organizational and time management skills. Ability to multitask and prioritize tasks effectively.
