Summary Department Summary As a student service, University Health Service (UHS) reports through Student Life (SL). Job Summary To analyze and problem solve health record documentation for completeness and accuracy. To review, select, distribute, log and data entry of request for health records information. Interpret health record data and compile applicable reports. Assist HIM Manager with scheduling meetings, preparing minutes and memos for Quality Improvement Committee and other meetings. Assist with the development of policy and procedures. Responsibilities* 55% Analysis Review, analyze and abstract health information from system and/or paper documents/reports into the EHR to ensure documentation meets regulatory requirements and compliance standards. Verify and perform quality audits of health and patient demographic information for completeness and accuracy. Proof read work and correct errors. Identify unclear or incomplete information and seek assistance if necessary. Prepare medical documents/reports to ensure they are indexed accurately according to departmental standards and documentation guidelines Report documentation quality issues and provide suggestions for improvement to HIM leadership. Identify opportunities for workflow and data abstraction improvement and provide suggestions. Demonstrate an understanding of university and departmental policies and procedures and seek clarity as needed. Assure compliance with safety programs. Participate in and consistently demonstrate an understanding of UHS Service Excellence Meet the department quality standards for work performance. Expand job related knowledge and skills by attending and participating in in-services and staff meetings. Work and communicate effectively with customers, patients and coworkers to accomplish organizational goals. Provide technical and clerical support to coworkers and customers as needed. Review, prepare reports of deficiencies for providers and circulate 35% Release of Health Information Process release of information and outside record requests according with Health Service policy and Federal/State guidelines Greet & provide customer service for patients wishing to receive copies of health record Interact with students/parents/insurance companies/legal agencies/hospital attorney/UHS staff Screen, analyze, copy, fax and scan health records as required according to standards Prepare/initiate authorizations, account of disclosures, restrictions, and amendments to health information when applicable Problem solve and analyze health record documentation issues Respond to subpoena requests for health information schedule & observe chart reviews 10% Administration Management: Interpret health record data, statistical information or other request i.e.: QI audits, studies, etc. Assist manager with scheduling meetings, preparing QI minutes/memos Assist with the development of form revision and procedures Provide backup coverage to any HIMS area that is required i.e.: File room, registration, deficiency monitoring, scanning duties, preparing records for destruction Operate, clean and adjust office equipment i.e.: fax, copier, printers, etc. Train office staff in handling/processing health records Participate in health information software development testing, upgrades and training. Perform other duties as assigned in order to maintain the efficiency of the department Required Qualifications* An Associate's Degree in Health Information Technology (HIT) or a high school diploma/GED and one year of HIT work experience Experience with Release of Information in a professional work setting Additional Information Working conditions Hours Monday through Friday 8 am - 5 pm. Potential opportunity to work remote some times (based on operation needs). Physical requirements Able to maintain static position for extended periods of time, and ability to move and transport objects weighing up to ten (10) pounds Direct reports Admin. Manager Health Information Management/RegistrationSelected candidates whose start date is 4/1/2024 or before 8/31/2024, will not be eligible for the university FY24-25 salary/merit plan unless otherwise notified.This role may have reporting obligations under Title IX and Clery.Authorization to work in the U.S. is a precondition of employment and applicants for this position will not be sponsored for work visas.
