Faith Formation Receptionist Classification: Part-Time, Non-Exempt (Hourly) Ministerial Character The Pastor is the visible principle and foundation of unity in St Margaret Mary Catholic Church which the Bishop has entrusted to him. He makes Christ's mission present and enduring in the parish. In order to fulfill his mission, the Pastor employs suitable, chosen collaborators (clerics, religious, or lay people). He shares with them his mission and entrusts various responsibilities to them. Positions employed at St Margaret Mary Catholic Church help to extend the ministry of the Pastor in particular ways as outlined in the job description. Therefore, the employee in this position is closely connected to and assists the Pastor in the performance of his ministry and thereby engages in ministry for the Church. Job Summary The Administrative Assistant for Faith Formation is responsible for assisting the Faith Formation team with all duties as assigned including but not limited to the below essential duties. The position has limited authority to exercise independent judgment and discretion within the scope of the job. This position reports to the Director of Religion Education but will have delegated authority to work directly with each Faith Formation team (Elementary and Youth Coordinator) Essential Duties: Answer phones and assist parents during hours of formation Support catechists with material needed Distribute (phone, email) messages to the appropriate Faith Formation staff members. Assist with Faith Formation registration process. Provide Faith Formation information to parishioners. Performs database entry for students, updating family information, adding students to database Formation section, and connecting children to their parent's contact information. Assist Faith Formation Coordinators with priority tasks. Collect Sacramental information for the Sacraments Coordinator. Records sacraments in church registers, prepares certificates, prepares and mail letters as needed to Catholic Churches throughout the world. Requests and responds to emails from other parishes in reference to sacraments or training completion. Assist in creating Excel spreadsheets, Word documents and maintenance of files, copying and other clerical basic needs. Collaborate with Director of Religious Education to ensure data and reports on attendance, participation, and communication are available for review and action. Help maintain the integrity of information for participants. Assisting with Faith Formation Accounts Participates in the worship life of the parish. Knowledge, Skills, and Abilities Proper telephone and office etiquette when dealing with families. Skill in using multi-line telephone system. Excellent communication skills both in English and Spanish. Knowledge of the structure and basic teachings of the Roman Catholic Church. Ability to foster an environment consistent with the parish mission and goals. Skill in organizing, prioritizing, and utilizing effective time management techniques to meet deadlines. Compose and type correspondence. Demonstrate good judgment, always maintaining confidentiality. Adjust to changing priorities. Ability to operate various word-processing software, spreadsheets, and database programs. Provide excellent customer service and ability to work collaboratively with others as part of a work team. Learn new tasks and functions as directed by supervisor. Other duties as assigned. Minimum Qualifications Education and Training: High School diploma (college degree preferred) Proficiency in English and Spanish are REQUIRED, ability to read/write/speak fluently in both languages. Strong work ethic with little or no supervision, personal initiative and follow through. Advises organizational chain if there is an issue or concern that needs immediate attention. Knowledgeable of child safety requirements. Experience: 1 year+ work experience with Catholic parish (preferred) At least 1 year experience as receptionist or office experience that included answering phone calls, handling walk-in customers, and clerical duties Catholic Requirement: A practicing Roman Catholic in good standing Licenses/Certifications: Valid Texas Class C Driver's license Must maintain compliance with the Diocese of Austin Ethics and Integrity in Ministry (EIM) policies through the employment period. Work Schedule: SUNDAY 8:30 am to 4:00 pm MONDAY 3:00 pm to 7:30 pm TUESDAY 3:00 pm to 7:30 pm WEDNESDAY 3:00 pm to 7:30 pm THURSDAY 10:30 am to 3:30 pm
