As Executive Assistant to President & CEO, you will manage and optimize the operations of the office of the President & CEO. Bolster the President & CEO's effectiveness by providing all necessary support in the advancement of United Way Miami's mission and objectives. Principal Duties and Responsibilities Manage and maintain the office of the President & CEO in a professional and efficient manner to ensure excellent customer service to internal, and external, constituents. Based on the unique level of confidentiality of material and interaction of this position, particular care must be considered in relation to the position of the President & CEO requiring the highest level of integrity, confidentiality, honesty and fair dealings as outlined in our Code of Ethics & Business Conduct, especially avoiding any conflict with personal interests, or even the appearance of a conflict of interest. Act as a gatekeeper and primary point of contact for internal and external stakeholders seeking access to the President & CEO. Maintain and support calendar for the President & CEO, coordinate and monitor meetings with executive staff and volunteers; anticipate and coordinate with staff information and materials needed to ensure that the President and CEO is prepared for meetings and events; timely gather and review all materials and information for such meetings to ensure the accuracy of the information provided; provide communication support services for calls received in the office of the President & CEO; Responsible for all administrative tasks required by the President & CEO and its office. Responsible for all travel arrangements for the President and CEO, including local travel to and from appointments when needed. Responsible for tracking and submitting all expense reports for the President and CEO in a timely manner. Provide support for the President & CEO's role as member of various Boards and committees outside United Way. Maintain an organized, efficient, accessible and accurate filing system; maintain/update information in the current database system as needed. Serve as a liaison between the President & CEO and other senior leaders, board members and external stakeholders to assist in cultivating and maintaining strong relationships. Work with the Chief of Staff and / or Communications lead to draft and distribute internal and external communications on behalf of the President & CEO, ensuring clarity, consistency, and professionalism. Serve as liaison to Board, Board Committees, Trustees and community outreach by making all meeting arrangements, preparing and distributing of materials, taking notes and transcribing notes to develop minutes; prepare Board & Executive meeting material; Board attendance reports and Nominating Committee reports; assist in researching information requested by members as assigned; maintain volunteer rosters. Manage and mentor the administrators for all departments, providing guidance, coaching, and performance feedback. Foster a collaborative environment amongst administrators and delegate tasks and responsibilities effectively to maximize efficiency and effectiveness. Order supplies for the Executive division; approve expenditures for President & CEO's office up to the amount agreed upon with the CFO and approved by the President & CEO. Other duties as assigned. Requirements: QUALIFICATIONS/SKILLS AND KNOWLEDGE REQUIREMENTS Education Requirements: Bachelor's Degree; or equivalent experience. Experience Requirements: Ten years of proven progressive executive administrative experience supporting C-suite executives. Strong organizational skills, both written and verbal, with a keen attention to detail and accuracy. Demonstrated strategic thinking and problem-solving abilities, with a track record of driving results in a fast-paced environment. Leadership experience managing administrative staff. Technology Requirements: Internet, Word, PowerPoint and Outlook, Intermediate Excel and functions such as Mail/Merge. Other Essential Knowledge/Skills: Strong verbal and written communication skills. Attention to detail and accuracy. Excellent interpersonal and leadership skills, ability to work under pressure, and act flexibly in response to changing priorities, efficient and accurate typing, filing, proofreading skills, basic knowledge of personal computers, ability to maintain confidentiality in projects of a sensitive nature, dependability.
