Job Description As a Billing Administrator for Bunnell-Lammons Engineering, Inc. (BLE), you will be working under the immediate supervision/direction of our Assistant Controller. The Billing Administrator works within the Corporate Accounting Department and contributes to the overall management of company resources through preparation of customer invoices for designated customer accounts. The Billing Administrator works closely with the Project Managers, Department Managers, and others as needed. The Billing Administrator plays a critical role in the overall success of BLE and is vital to ensuring the Accounting Department meets its goals of efficiency and customer satisfaction with an attention to detail and organization. Minimum Job Requirements Associate or bachelor's degree in finance or accounting. Three years or more experience in billing, preferably in construction accounting/or other high volume engineering service consulting industry. Possesses forensic accounting skills to identify and resolve discrepancies. Above average understanding of billing procedures in accordance with acceptable accounting practices and concepts. Ability to attend to detail and work in a time-conscious and time-effective manner. Knowledge of project management, understanding project baseline documentation, costs, and schedules. Intermediate to Advanced level proficiency in MS Office applications (Word & Excel). Must be able to effectively communicate both verbally and in writing with team members, BLE leadership, clients, and vendors. Must be self-motivated, efficient with processes, and able to work independently while completing scheduled tasks. Daily Functions and Duties Responsible for the day-to-day billing process of all accounts within the assigned portfolio. Prepares customer invoices for small, medium, and large projects based on both numerical and contract specific data sets. Provide services to support Project Managers in opening, maintaining, and closing projects within the ERP system consistent with contract terms. Communicate with Project Management regarding contracts, change orders, and other contract modifications pertinent to project billing. Investigate and Resolve issues with customer invoices not matching customer PO's in collaboration with project managers. Maintain historical records and ensure contract/project files are up to date and complete by scanning, saving, and organizing documents. Manage vendor and subcontractor communications and payables.
