Job Summary: The Customer Service Representative will play a key role in supporting the sales team in various activities, including review and acceptance of customer purchase orders, entering data into our sales order system, and being the point of contact for customer order status. This position offers a great opportunity for individuals interested in developing their skills and advancing their career in sales administration. Responsibilities: Process customer orders accurately and efficiently, ensuring all details are correctly entered into our system. Verify purchase orders include all necessary items, including product numbers, quantities, prices, and terms and conditions according to contractual agreements. Coordinate purchase orders and product shipments to and from related companies in a multi-national corporation. Respond promptly to customer inquiries and resolve issues to their satisfaction, escalating complex issues to the appropriate department when necessary. Maintain accurate records of customer interactions, orders, and transactions. Organize logistics for customer site visits and public relations events. Collaborate with internal departments, including technical sales, production, logistics, R&D, quality, and accounting to ensure on-time and accurate delivery of products and services. Assist with product inventory management, including tracking stock levels at third party warehouses. Provide administrative support to customer-facing teams, including filing, data entry, SDS management, and other clerical duties as assigned. Ensure adherence to company policies and procedures in the sales order process. Stay current with product knowledge, company policies, and procedures to provide accurate information to customers. Generate and analyze sales reports as required. Assist in the preparation for internal and external audits. Identify opportunities for process improvements in sales order and fulfilment processes. Other duties as assigned. Qualifications: High School degree required, associate or bachelor’s degree preferred. Minimum 5 years customer service experience required, preferably in a multi-national manufacturing or semiconductor environment. Proficient in MS Office (Excel, Word, Outlook) as well as various ERP systems. SAP and Quickbooks experience preferred. Minimum 5 years of experience with CRM software. Familiarity with standard sales order processing. Excellent problem-solving skills. Proactive and solutions oriented. Quality mind-set, strong attention to detail with a high-level of accuracy. Excellent communication and interpersonal skills. Ability to work independently as well as cooperatively. Ability to collaborate with key internal and external stakeholders. Ability to develop positive relationships with employees, business partners, and customers. This job operates in a professional office environment. This role routinely uses standard office equipment such as computers and phones. This is a largely sedentary role requiring the ability to sit or stand for long periods of time.
