About the Position The Construction Administrator will be responsible for document management and other administrative duties for the Construction Manager & Construction Manager Assistant. You will work with the Construction Manager, Construction Manager Assistant, Project management team, Shipping Department, and field crews to manage and maintaining documentation for multiple projects in construction, including project plans, schedules, records, contracts, job meeting notes, vendor and sub-contractor invoices, and other construction related documentation. You will also assist in scheduling travel and travel accommodations for the Construction Manager, Assistant Construction Manager, and Install Crews. Principle Duties and Responsibilities Schedule meetings and manage calendars for Construction Manager Manage and update install crew schedules. Schedule equipment and manage equipment invoices. Manage, track, and organize work orders and sub-contract documents. Work with Project management to maintain, organize, and distribute current and conclusive project plans for current construction jobs. Track and document crew and equipment costs and time Answer phone calls and emails and take messages. Take accurate and comprehensive meeting notes, and schedule and track tasks. Help with daily time management. Run errands as needed. Plan travel, including flights, accommodations, and ground transportation. Draft correspondence such as emails and letters Knowledge, Skills, and Abilities Strong time-management and organization skills Strong interpersonal skills to communicate and collaborate with Supervisors, Customers, Subcontractors and Suppliers, and other business professionals. Good writing abilities to draft, edit, and proofread documents effectively. Proficient with Microsoft Office - word processing, spreadsheets, and email programs Active listening and good communication skills Proactive approach to problem-solving Ability to multitask. Education and Experience: 2 years in office administration, administrative assistance, clerical work, or construction document management Preference for candidates who have experience in construction management, project management, safety, communication, and ability to demonstrate knowledge and understanding. Possess an understanding of zoning and permitting issues for the localities where Company does business. Ability to conceptualize the "big picture" from design/drawings, specifications, submittals, and other construction documents. Ability to work with customers and subcontractors and problem‐solve in a fast‐paced environment.
