Job Title : College Assistant/Testing Coordinator (68.75 percent FTE, School Year 10-month) Salary Range: Approx. $17-$24/hour based on experience. Job Start Date: August 05, 2024 Work Hours: 8:30 a.m.-2:30 p.m. Monday-Friday (27.5 hours a week) Application Closing Date : This posting will remain active until the position is filled. Job Summary: Coordinates with the Director of College Advising to ensure that all college applications are completed and mailed to the appropriate colleges in a timely manner. Oversees and coordinates the many steps for the standardized testing opportunities offered by Divine Savior Holy Angel (DSHA) High School. This is a school-year, part-time position (27.5 hours a week). Responsibilities: This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities, as management may deem necessary from time to time.Gathers information and assists the seniors of Divine Savior Holy Angels (DSHA) High School in submitting their college and scholarship applications in a timely manner.Updates the guidance system with current information and dates regarding the application process.Schedules college representative visits and meets with them when they arrive, ensures adequate facilities have been established.Schedules student meetings with Director of College CounselingGathers and compiles information and handouts for distribution to the students and parents; orders additional information or makes copies, as necessary.Maintains the guidance database and recommends new methods for tracking data, surveys and questionnaires.Updates the scholarships for students on Naviance and/or on the website.Provides administrative support for Senior College Information Night, Junior College Information Night, Financial Aid Night, Carla Olle Career Day, Bridge Builders, Decision Day, and the Annual College Bus Trip and additional college events.Organizes Final Exam schedules and assigns proctors/rooms. Coordinates and administers the Advanced Placement testing (AP) in May, the ACT testing in March, PSAT in October, HSPT in November, and DPI Testing in April.Orders testing materials for the various tests as necessary and ensures student testing accommodations are reviewed and noted where applicable.Advises students on necessary information regarding testing procedures.Arranges for proctors and ensures rooms are reserved for the tests.Receives the testing materials, checks shipment for accuracy, and returns the completed materials.Works with IT Department regarding electronic testing requirements, equipment needed and protocols. Works with the Student Services Administrative Assistant to provide support for Spanish-speaking families.Maintains confidentiality of student information and/or personal experiences of students sharing information only with supervisors or counselor of record.Maintains the files of college data for the students’ use. Gathers and prepares data documents requested as related to designated work responsibilities.Prepares and mails transcripts for alumnae.Completes other duties as assigned. Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and/or Experience: Position requires a high school diploma or GED; an associate degree in administration or related field is desired. Bilingual speaking skills in English and Spanish preferred. One year’s experience in a support role, preferably in an educational environment. Knowledge, Skills and Abilities: Effective oral and written communication skills are required. Must be able to maintain confidential, college application data appropriately and must be able to maintain communication with a diverse population of people at all levels within and outside of the organization. The ability to stay focused in an area with some interruptions is required. Records maintenance skills and the ability to prepare and print routine correspondence, labels, and/or other basic written material. Word processing and data entry skills are necessary. PC experience and knowledge of MS Office is required, as is comfort utilizing school databases and tracking systems (Naviance Program). The ability to maintain calendars and adhere to strict schedules is required. The ability to prioritize duties is required. Physical Demands: While performing the duties of this job, the employee is frequently required to stand, talk or hear; and use hands to finger, handle, or touch objects or controls. The employee is frequently required to stand and walk. On occasion the incumbent may be required to stoop, bend or reach above the shoulders.The employee must occasionally lift up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
