Job Title: Administrative Assistant Location: Washington, DC Department: Office Employment Type: Full-Time Job Summary: The Administrative Assistant provides comprehensive administrative support to ensure the smooth functioning of the office or department. This role includes managing day-to-day office operations, organizing schedules, coordinating meetings, and facilitating communication across teams. The ideal candidate is proactive, highly organized, and able to handle multiple tasks efficiently. Key Responsibilities: Office Management: Manage office supplies, maintain filing systems, and ensure the office environment is organized and functional. Scheduling & Calendar Management: Coordinate meetings, appointments, and travel arrangements for executives or team members. Ensure all deadlines and events are communicated effectively. Communication: Serve as a point of contact for internal and external communications, answering phone calls, responding to emails, and managing correspondence. Meeting Coordination: Prepare meeting agendas, take detailed minutes, and follow up on action items. Document Management: Draft, edit, and format letters, reports, memos, and other documents. Organize and maintain both physical and digital files. Event Planning: Assist in organizing company events, workshops, or meetings, handling logistics such as catering, venue booking, and attendee communication. Assist with HR tasks: Support HR functions by scheduling interviews, managing employee documentation, and onboarding new hires when required. Required Qualifications: Education: High school diploma or equivalent; an associate or bachelor's degree in business administration or a related field is preferred. Technical Skills: Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and familiarity with office management tools (e.g., Google Workspace, scheduling software). Communication Skills: Strong verbal and written communication skills with the ability to interact professionally with all levels of the organization. Organizational Skills: Exceptional time management skills, attention to detail, and the ability to prioritize tasks and meet deadlines.
