We are looking for a highly motivated and qualified Administrative Specialist to support our leaders. Under the guidance, the administrative Specialist provides high -level administrative support to a department or group of professionals, applies knowledge and skills to resolve complex administrative problems independently or with others. The administrative specialist provides a wide range of administrative and secretarial support to senior staff within the department and performs a variety of clerical tasks to ensure an office operates smoothly. They provide support to department or individual managers enabling them to focus on their primary responsibilities. Job description: Duties and Responsibilities: Office Coordination: Oversee and streamline administrative procedures and policies and manage office operations. This can include everything from managing filing systems to ordering office supplies. Independently prepare more complex documentation, reports, charts, and spread sheets at designated intervals and as requested. Assisting in developing budgets, monitoring expenditures, reconciling financial statements, investigating discrepancies, and processing corrective actions. Assist in recruitment process including job postings, resume screening, interview scheduling and monitoring recruitment progress to meet hiring goals. Assist in employee performance management by collecting and organizing performance data, conducting evaluations, and providing feedback to enhance employee performance Assist in onboarding new hires and ensuring all necessary paperwork is completed and processed promptly. Perform general clerical tasks such as data entry, scanning, uploading, filing, and photocopying. Coordinates projects, maintains and track progress with team and meet deadlines. Assist with company events. Process HR-related employee changes. Maintain employee personnel files. Handle sensitive information in a confidential manner. Demonstrates dependable, professional work habits. Requirements and Skills: Associate’s degree required; Bachelor’s degree in related field preferred. Three to five years of experience in an administrative role. Exceptional organizational and multitasking skills with strong attention to detail. Excellent communication and time management skills. Proficient in MS office (MS excel and MS outlook in particular) Ability to prioritize daily workload and meet deadlines. Familiarity with office management procedures and basic accounting principles. In-depth knowledge of department policies, procedures, and goals and administrative support in completing complex tasks. Demonstrated success applying the highest level of secretarial skills. Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Filing may be required - This would require the ability to lift files, open filing cabinets. Position Type/Expected Hours of Work: (SUBJECT TO CHANGE) This is a full-time position and the hours of work, and days are Monday through Friday 9:00 am to 5:00 pm.
